What to Expect at Your First Appointment

When you call one of our offices our friendly OA’s will ask you about your specific situation so that we can assess how much time will be needed for your appointment to schedule you.

The OA will ask for your insurance information, what your diagnosis is, referring physician’s name and what item your physician is prescribing and whether or not you have a written prescription advising what needs to be provided. We will then schedule an appointment time at a location that is convenient for you.

Plan on arriving 10-15 minutes early to fill out any forms that are needed.

What Information Should You Bring?

You should bring the forms that you filled out from this website along with your insurance card, the prescription that your physician provided you, X-rays (if asked to bring them when making the appointment). If you already have an orthotic or prosthetic device previously worn make sure to bring that with you even if worn out, broken or outgrown.

If your device goes in a shoe, bring the shoes you plan to wear most often with the device. You can have a family member or friend accompany you if you would like. They will help you with instructions and questions you may not think to ask.

What to Expect During Your Appointment

After filling out the proper paperwork one of our OA’s will weigh you and take your height (this is needed to show growth, weight gain/loss for insurance coverage). You will then be shown to an exam room and one of our practitioners will do a complete evaluation. They will discuss your options based on your needs and your insurance coverage. You will be measured or cast depending on your needs.

Insurance Benefits

Our charges are not subject to an office visit co-pay, we bill under your insurance policy’s DME or Orthotic benefits. The OA at the front desk will verify your insurance benefits and will explain the quote to you, including any estimated co-insurance based on your carriers quotes. Most insurance policies require the insured to be responsible for a percentage of the total amount charged after their contracted discount along with an annual deductible.

You will be responsible to pay half down on your co-insurance to start the work on your device and the balance will be due when you are fit with the device. If you are fit the same day then you will be asked to pay the co-insurance at that time.

*We urge you to be proactive and contact your insurance carrier prior to your appointment to verify your benefits/coverage for orthotic and/or prosthetics along with any deductible that may apply. This will make you better informed. If you need help with codes or procedures our OA’s will be happy to assist you.

Appointment to Be Fit With Your Item

Once your device is ready to be fit one of the OA’s will contact you to schedule an appointment for you to be delivered with your device. They will remind you of any co-insurance due. At your appointment, the practitioner will fit the orthotic or prosthetic device.

We will make adjustments if necessary. You will leave with your device that day unless further modifications need to be made (some devices are more complicated and may require additional fitting appointments). Our goal is for you to leave with the best fitting and most comfortable device possible.

Follow up Visits / Adjustments

As with any new device, you may need minor adjustments once you start wearing and breaking it in. You may have to return to the office but we will do our best to keep the number at a minimum.

Follow up Visits / Adjustments

We stand behind our work at Stubbs Prosthetics & Orthotics Inc. We warrant our devices and appliances to be free from defects in material and workmanship under normal use and service for six (6) months. This warranty applies, subject to normal wear and tear, when the products are used as intended, without unapproved modifications, following all practitioner instructions and requirements. Manufacturer’s warranty will be honored on components where applicable.

Normal adjustments such as new straps, padding, and minor modifications will be made at no charge for ninety (90) days after delivery. This warranty does not apply to adjustments, repairs or replacements necessitated by physical changes in the patient, abuse, undue rough wear or additional adjustments which are prescribed by a physician.

Shoe lifts and shoe sole modifications are excluded from our six (6) month warranty policy. Because a patient with a shuffling or dragging gait can easily wear down the sole of a shoe in a period of fewer than six months, they are excluded.

A physician has prescribed your custom made an orthotic or prosthetic device. Custom means it is made to fit specifically for your body. Custom devices cannot be returned for credit or refund. Off-the-shelf items cannot be returned for hygienic reasons. Failure to contact the treating practitioner or infrequent or non-use of a device does not absolve the patient from the responsibility for payment.

It is in your best interest to communicate with your practitioner on a timely basis and to allow us to resolve any problems you are experiencing as efficiently and quickly as possible. It is our goal to provide you with the best care possible, and we will make every attempt to meet your needs.
